Sick Leave for Shift Workers: Steps and Documentation

Shiftat-E Blog

Waking up sick is bad enough. For shift workers, the harder part is the paperwork, the shift coverage, and keeping the month's totals correct. Sick leave has a sequence โ€” follow it and the day stays manageable.

Get the Medical Certificate First

See a doctor and get a documented certificate. Make sure it carries your name clearly, the examination date, and the recommended period of absence. Some employers require a government hospital certificate, others accept approved clinics. Ask HR what yours accepts instead of guessing.

Keep a photo of the certificate on your phone. The original goes to the employer, but a copy protects you if it gets lost or the process is delayed. Finish it the same day.

Tell Your Supervisor Early

Early contact makes a real difference. Your supervisor can arrange cover, and your shift is not left short. The longer you wait, the more awkward it gets and the heavier the load on your colleagues.

Who Covers the Shift

In shift work, the operation does not pause because you are absent. Someone has to cover. Some employers ask you to arrange a swap with a colleague; others leave it to the supervisor. Know which system you are in before you need it on a bad morning.

If swaps fall on you, keep two names ready. It saves time and the awkwardness of calling around while you are unwell. Note who actually covered your shift too, because that record protects both of you if the cover counts as overtime.

Log the Sick Day Correctly

Many people forget to record sick days, and the month-end total ends up wrong. In Shiftat-E, record it as a sick leave day, not as an absence, so your hours are counted correctly and the two stay separate. That keeps your monthly total clean and protects you from a wrong deduction.

Returning to Duty

First, confirm the certificate was received and registered with HR. Then check your rota in Shiftat-E and expect adjustments if your absence changed the schedule. If the doctor gave you restrictions or light duties, tell your supervisor before the shift starts, not halfway through it.

Record the actual date you returned. Sometimes the doctor extends the leave by a day or two, and the certificate and your log have to move together so the paperwork matches the work.

One last thing: sick leave policies differ between employers in Kuwait, on both the number of days and the certificates accepted. Always confirm with your own HR rather than a general rule.
