How to Document a Shift Swap With a Coworker

Shiftat-E Blog

A shift swap starts as a verbal agreement between you and a colleague and ends in a problem if nobody writes it down. Most of the trouble does not come from your coworker โ€” it comes from a roster that never learned about the swap, or a supervisor with nothing on paper. Documentation protects both of you.

Why the paper trail matters more than the agreement

The official record decides who was on the floor, and your hours and overtime come out of it. Swap verbally, write nothing, and the roster still shows your original shift: you can be marked absent from your own shift while working your colleague's for free. Two weeks later neither of you remembers the details.

When to send the request

The earlier the better. Your supervisor needs time to edit the roster, and your colleague needs time to rearrange their week.

If it is an emergency, say so in the first line. Supervisors handle it differently from a routine request.

What to write in the swap message

Short and specific beats long and vague. Include five things:

For example: "Good morning, I would like to swap my night shift on Thursday 12 June, 7 pm to 7 am, with Ahmed's shift on Saturday 14 June. Family matter, both sides agree. Please approve and update the roster."

Get the supervisor's approval in writing

Verbal approval works in the moment and fails a month later. Ask for it on a written channel: email, the work group chat, or a signed swap form if your workplace has one. If your supervisor answers verbally, send a short summary: "As agreed, the swap is confirmed for the 12th, thank you." That message becomes your evidence.

Keep a screenshot of the message or a photo of the signed form. A screenshot is cheaper than an argument with payroll.

Protect your hours after the swap

Mistakes that repeat every month

Keep the swap next to your shift record

Swaps pile up, and after two months you cannot remember which shift you traded or when. Shiftat-E lets you log your shifts and hours and plan your leave in one place, so the whole week sits in front of you and you can see where your hours drifted.

A written message is only half of it โ€” the record has to match. With Shiftat-E you can compare what the roster says with what you actually worked, and catch the gap before the month ends:
