The Shift Handover: What to Write Before You Leave

Shiftat-E Blog

Most shift problems do not start in the middle of the shift. They start in the fifteen minutes between one person leaving and the next one working out what happened. Something stays open, nobody knows who is chasing it, and the incoming shift either redoes it or drops it. Either way, time is gone and someone gets blamed for work they never touched.

Why a Weak Handover Costs You First

The person after you cannot see your shift. They only see what you wrote. If you wrote nothing, they build from zero, and if they get it wrong, the mistake lands on the shift before theirs โ€” yours. That is how a complaint turns into a meeting and a meeting turns into "who was responsible?" with no answer on paper.

Overtime disappears the same way. A shift that finished forty minutes late, with nobody writing down when it finished, becomes a missing number at the end of the month. Memory is not evidence. If you log your shifts and hours in Shiftat-E, the number is there before anyone disputes it.

The Template: Seven Lines

Keep the handover to seven lines. Short enough that you will actually do it, complete enough that the next person does not have to call you while you are asleep. Same shape every day, on paper, in a phone note or in the shift book:

The 5-Minute Rule

Write it before you sit down, not at the gate. The moment you sit, your brain clocks off โ€” that is what sitting is for. And at the gate, the only thing on your mind is the drive and the traffic.

So the five minutes happen while the shift is still in your hands: last round, then the note, then the chair. Leave it to the gate and you will write three words, forget the fourth, and the fourth is always the one that mattered.

Why Writing It Protects You

A written handover is your record, not just their briefing. When something goes wrong two days later, the question is always the same: who knew, and who was told? One line with a time on it answers that without an argument and without anyone taking blame they did not earn.

The same note settles overtime. Put the time your shift actually ended next to the handover, and the gap between the roster and reality stops being a memory contest. Shiftat-E keeps that in one place, so you log your shifts, hours and plan your leave and the handover sits beside the real finish time.

Seven lines, five minutes, before the chair. That is the whole habit. Download Shiftat-E on Google Play โ€” log your shifts, hours and plan your leave, and keep your handover documented every day.
