Requesting a Copy of Your Attendance Record: What to Ask For

Shiftat-E Blog

You worked the shift. The record says you did not. That gap is why a copy of your attendance record matters more than most paperwork you will ever request.

Getting it is not complicated. Most people just ask verbally, get a verbal answer, and end up with nothing they can point to later. A short written request fixes that in about ten minutes.

Why you need the copy

Your attendance record is the source document behind several things: overtime calculation, leave balance, end-of-service settlement, and sometimes a deduction for an absence you never took.

The absence case is the one that hurts most. The system shows a missing day, you know you were there or that you had an approved swap, and without paperwork it becomes your word against theirs. With paperwork, it becomes a review.

What to ask for

Do not ask for "my attendance record" and stop there. Name the month and year, and ask for all four items together. A specific request usually gets a faster answer than a general one.

How to ask

Send a short message, by email or in writing, to HR or your supervisor. Three sentences are enough:

Hello, I would like a copy of my attendance report and the shift roster for the period from (date) to (date), along with my leave balance statement. Thank you for your help.

Skip the full story and skip the accusations. Be specific and polite, and keep both your message and the reply. That reply is now part of your file.

Check it line by line

When the report arrives, do not file it and forget it. Spend ten minutes on it:

This is where your own daily log pays off. Shiftat-E lets you log your shifts and hours and plan your annual leave, so you have a reference to compare against. The app does not issue official documents, but your personal record is what tells you exactly where the error sits.

When a line is wrong

Do not wait until the end of the year. Raise it in writing within the same month: the date, the line that is wrong, and what it should say. Attach your own log and a copy of the swap approval if you have one. Corrections are usually easier before the period is closed, and HR is the right place to confirm the details.

Store the copies in two places, your email and a folder on your phone. Paper gets lost. Email tends to stay.

That is the whole method: a written request, a named period, and a careful read. If you want the reference side handled, start logging your shifts in Shiftat-E and get it on Google Play so the record is ready before you need it.
