Requesting a Shift Swap With a Colleague

Shiftat-E Blog

At some point the roster will clash with something that matters: a sibling wedding, a hospital appointment, a school event, or a family emergency. A shift swap is usually the answer, and most swaps fail not because the answer was no, but because the request was made badly. The way you ask decides the outcome.

Start with a swap, not a favour

The strongest request is one that solves a problem for the other person too. Instead of asking a colleague to cover your Thursday night, offer a specific exchange: your Thursday night for their Sunday evening, or your Friday morning for their Tuesday morning. Look at the roster first and find a swap that leaves both of you with the same number of hours and a sane turnaround. A swap that leaves someone finishing at 23:00 and starting at 07:00 will be refused, and reasonably so.

Ask early, in person, and make it easy to say yes

Ask as soon as you know, ideally more than a week ahead. Last-minute requests put pressure on people and on the supervisor. Ask in person or by a direct call if you can, then confirm in writing. On a hospital ward, at a ministry office or in an airport terminal, the colleague who asked politely three weeks ago is remembered better than the one who sent a message at midnight.

Get the supervisor and the record right

Even a friendly swap is not official until a supervisor approves it. Ask what the process is in your workplace: a form, an email, or a note in the roster system. Get the approval in writing and keep it. If the swap never appears in the official roster, both of you are exposed when attendance is questioned, and payroll is usually handled far from the ward or the terminal where the agreement was made.

If the answer is no

A refusal is rarely personal. The other person may have childcare, a second job, or a pattern already stretched thin. Thank them, ask whether they know anyone else who might be willing, and move on. Asking two or three colleagues politely is normal; pressing the same person repeatedly damages the relationship you will need next time.

Keep the change visible afterwards

After the swap, update your own record the same day: the new date, the hours, and who approved it. Swapped shifts are the most common source of missing hours at the end of the month, because the official roster and the person's memory disagree. Shiftat-E lets you log your shifts and track your hours, so a swap you agreed to in a corridor is still visible when the month closes.
